Challenge at FOMF

FOMF previously had no central customer management system, but had to make do with scattered tools and many manual process steps, e.g. Mailchimp for sending emails or Excel spreadsheets in sales.

After the introduction of HubSpot, the design of the complex product logic and the mapping of the sales processes, including reservations, was a particular challenge.
In addition, a lot of legacy data from other systems had to be prepared and imported into HubSpot.

UI extensions directly in HubSpot (React & GraphQL )

The complex booking logic for the allocation of individual time slots at events organized by the FOMF (e.g. trade fair stand or conference) was integrated directly into the HubSpot interface using the new UI extensions based on React and GraphQL, replacing the old process using Excel spreadsheets.

Among other things, separate views were programmed for the offer and booking of these slots and special widgets were built for the sale of packages or multi-year memberships.

Instead of laboriously processing bookings via Excel spreadsheets, sales staff can now conveniently view the currently free slots (= products) per event (= custom object) directly in HubSpot and offer them directly to customers or assign the respective slot to the deal as an item with a click.
Once an offer has been created, the slots are reserved or released again once the offer has expired.
The sales employees are also notified when sales colleagues have sold this slot.

The new views thus ensure a central overview of the current status of free or booked slots directly in HubSpot without having to switch tools.

Project result & customer benefits for FOMF

FOMF’s internal departments are increasingly growing together through the use of HubSpot (especially Marketing, Sales & Customer Success) and can thus also view and use the activities of the other parties.

In the meantime, FOMF has already seen an increase in efficiency and the sales department can finally work cleanly and record activities with a standardized structure.
